Elevate Your VA Services by Mastering the Art of Specialized Support

Here at VA for Course Creators, I’m a huge fan of virtual assisting (obvs).

But have you ever wondered what services virtual assistants for course creators might provide for their clients?

Online education is ever-evolving and course creators face many challenges in developing, managing, and promoting their courses. VAs who specialize in supporting course creators offer a range of highly specific services tailored to the needs of online educators.

Some common to do’s  of virtual assisting¹ include administrative tasks such as email management, data entry, database management, customer service, social media management and so much more. VAs for course creators, however, are uniquely specialized.

Let’s dive into what type of work you might perform as a VA for course creators!

Course content development

The bread and butter of every online education business is the course content, right?

Without engaging and well-structured content, course creators cannot attract or retain students. Virtual assistants play a critical role in the development of course materials, ensuring that the content is both informative and engaging.

VAs make it happen when it comes to cohesive content that has consistent messaging.

To make sure the curriculum is organized well and covers all necessary topics, VAs work closely with course creators to develop detailed course outlines. Their tasks might also include researching and suggesting relevant topics and modules. This helps keep the content fresh and appealing to students.

Once the course creator decides on the curriculum, it’s time to put it all together!

NOTE: Let’s be clear - it’s not your job as VA to develop content. You can certainly help with the content development if you receive direction to do so, but that’s typically the extent of it. Creating social media posts might also be part of your agreement with the content creator.

VAs help refine lesson plans, slides, handouts, and other instructional materials that flow  seamlessly in the course. They also add quizzes, assignments, and assessments into a client’s systems. These evaluation tools test students' understanding of the material, reinforce desired learning outcomes, and help course creators know the best next direction in their business based on client feedback.

Because of the very nature of online learning, high-quality graphics and video are essential parts of every course. These elements help make the course as engaging and memorable as possible. They also elevate the student experience by giving perceived value.

Choosing the proper graphics depends on the course topic and style of not only the course but the course creator. Is their branding loud with neon colors, or more on the quieter side? Do they like to use emojis in their messaging, or are they more straight-laced?

Whatever floats their boat on the public-facing parts of their brand should be reflected in their course.

VAs also handle the technical aspects of video and audio editing, which can be a time-consuming process. Their eye for detail is important in making sure lessons are polished and professional.

Other interactive elements of the course might include animations or simulations designed to keep students engaged.

Platform management

A course creator’s platform hosts the course and gives students the ability to log into and complete the course. Platforms like Thinkific and Kajabi are considered all-in-one platforms because they allow course creators to build their course, website, and marketing in one place.

You can check out Kajabi up close and personal in the free Learn How to Become a VA masterclass by clicking the link at the end of this article 😉

With so many different course delivery methods available, this means there’s a great opportunity for virtual assistants to offer platform management services to their roster!

Management of these platforms may include tasks like:

⚡️ Uploading and organizing course content, making it easy for students to navigate and access the content.

⚡️ Troubleshoot issues with the platform and provide prompt solutions to team and students.

⚡️ Provide tech support to students when they encounter issues and help them navigate the course platform effectively.

Student engagement

When it comes to online courses, student engagement is super important. This is the level of interest a student has in a course - and ultimately, how much they get from it.

Getting students in the proverbial door of a course is the first step, but keeping them engaged throughout the course is the ultimate goal. Student engagement creates trust, personal investment, community, and retention of the student for potential future sales.

When a student has better engagement, this lends to them having a better understanding of the presented materials and helps them reach their personal and professional goals.

Creating community² from a course is a great way to foster student engagement and VAs can moderate discussion forums and sites and interact with students. Both actions encourage student participation and build a supportive learning environment.

It’s best practice for course creators to collect feedback from students to assess student satisfaction and identify areas for improvement - most courses are meant to be updated with time and additional information from students. Surveys and questionnaires are an excellent way to collect this information in an organized way.

💡Pro tip: Creating community is a fantastic opportunity to grow into a coach within your client’s business! You could potentially learn the ins and outs of that community to better serve them in a different capacity on top of virtual assisting.

Administrative support

Finally, efficient administrative support is crucial for the smooth operation of any online education business. Specialized VAs can handle a variety of administrative tasks specific to course creator’s needs to keep everything running smoothly.

Some of those needs include:

  • Scheduling:

    > Schedule live sessions, office hours, and student meetings. VAs act as the coordinator that manages the logistics of scheduling, making sure that all events are organized and communicated to everyone.

    > Manage the calendar and appointments. VAs keep track of all course-related activities to prevent conflicts. Their job is to make sure everything runs on time.

  • Data Management:

    > Maintain and update student records and databases. VAs confirm that student information is accurate and up-to-date, maintaining confidentiality and data security.

    > Track and analyze enrollment data and course performance metrics. VAs collect and analyze data to provide insights into enrollment trends and course effectiveness.

Additionally, effective marketing is essential for attracting students to online courses. After all, how else can course creators expect to reach their target audience? VAs with experience in marketing can significantly boost a course creator’s visibility.

The great thing about having these skills discussed above is you can add onto them to create even more value for your clients.

By providing these specialized services, you can enhance the efficiency and effectiveness of course creators, allowing them to focus on delivering high-quality educational experiences.

This is exactly what happened with me - I started out with email management and then I wanted to do some community engagement.  I then wanted to do some video editing and  eventually moved into design. I just kept doing whatever the business needed, but added onto my skill set as I went along.

As I learned what I liked and didn’t like, I made room to do more of what I loved! And passed off other tasks to other team members.
